Terms & Conditions

Please read these terms carefully before booking. By making a booking with Rawdah Tours Ltd, you agree to be bound by these terms and conditions. These terms apply to all travellers on the trip.

About Us

These terms apply to Rawdah Tours Ltd, a company registered in England and Wales, with a registered address at 5 Sir Denis Drive, Birmingham, England, B9 5DU. References to "we", "us", and "our" refer to Rawdah Tours Ltd.

Booking & Payment

To secure a place on the trip, a deposit of £500 per person is required. Your booking is considered confirmed once we have received your deposit and issued a written confirmation.

Room pricing for the Path of Purity II: Summer Edition (4th–15th August 2026) is as follows:

  • Quad Room (Standard, 4 persons): £1,799 per person
  • Triple Room (3 persons): £1,900 per person
  • Double Room (2 persons): £2,075 per person

All prices are per person and include return flights from London Heathrow with Qatar Airways, 5-star accommodation in Madinah and Makkah with daily breakfast, visa support, VIP transfers, and all guided elements as described on our website.

Following your deposit, the remaining balance is payable in three instalments, with the full balance to be cleared by 25th June 2026 (40 days before departure). Instalment dates are: 1st May, 1st June, and 25th June. Failure to complete payment by 25th June may result in cancellation of your booking, in which case the cancellation policy in Section 3 will apply.

Cancellation by the Traveller

All cancellation requests must be made in writing to rawdahtours@gmail.com. The following cancellation policy applies:

  • 60 or more days before departure: Up to 100% refund of amounts paid beyond the £500 deposit, subject to amounts recovered from suppliers. Guest name changes are permitted free of charge.
  • 40–59 days before departure: Up to 50% refund of amounts paid beyond the deposit, subject to amounts recovered from suppliers. Guest name changes are permitted free of charge.
  • Less than 40 days before departure: No refund. Guest name changes are subject to an administration fee and any costs imposed by third-party suppliers.

The refund percentages above represent the maximum that applies. Any costs already paid to third-party suppliers and not returned to Rawdah Tours will be deducted from the refund due. Visa fees are not refundable under any circumstances: once a visa has been processed and issued, it is in the traveller's name and remains valid for their personal use regardless of whether the trip proceeds.

The £500 deposit is generally not refundable. However, if Rawdah Tours receives refundable amounts back from third-party suppliers in connection with your cancellation, those amounts may be passed on to you in whole or in part.

All cancellation requests must be made in writing to rawdahtours@gmail.com. Please contact us as soon as possible if you need to cancel or change a traveller name.

Cancellation or Changes by Rawdah Tours

Rawdah Tours reserves the right to make changes to the trip itinerary, accommodation, transport, or programme where necessary due to circumstances beyond our control or for operational reasons. Where any change is significant, we will inform affected travellers as soon as reasonably possible.

If Rawdah Tours is required to cancel the trip in whole or in part, any refund due to travellers will depend on the amounts recovered from third-party suppliers, including but not limited to airlines, hotels, and other service providers.

Where Rawdah Tours receives a refund from such suppliers, that refunded amount will be passed on to the traveller. However, any costs that have already been incurred and are not refunded to Rawdah Tours will not be refundable. This includes transport costs, administrative charges, and other non-recoverable expenses. Visa fees are not refundable under any circumstances: once a visa has been processed and issued, it is in the traveller's name and remains valid for their personal use, and the cost is therefore considered spent on their behalf.

In summary, Rawdah Tours will refund any amounts it recovers from suppliers, but cannot refund amounts that have not been returned to Rawdah Tours. We will not be liable for any additional costs independently incurred by the traveller, such as travel insurance premiums or separately arranged travel.

Travel Documentation & Visa

It is your responsibility to ensure you hold a valid passport for the duration of the trip. Saudi Arabia requires a valid passport with at least six months remaining validity at the time of travel.

We provide visa support as part of your package and will guide you through the required process. However, final visa approval is at the discretion of the relevant authorities. We cannot guarantee visa approval and will not be held liable if a visa is refused, provided we have acted in good faith in submitting your application with accurate information.

Travel Insurance

All travellers are strongly advised to obtain comprehensive travel insurance before departure. This should include cover for medical emergencies, repatriation, trip cancellation, and personal liability. We do not provide travel insurance and will not be liable for costs that would otherwise be covered by a travel insurance policy.

ATOL Protection

Flights and accommodation on this trip are arranged through ATOL-approved suppliers. ATOL protection (no. 5311) is provided by Polani Travel Ltd. For the purposes of ATOL protection, please refer to the documentation provided by Polani Travel Ltd. If you are unsure about what protection applies to your booking, please contact us or refer to the Civil Aviation Authority website.

Room Allocation

Room allocation is subject to availability and is arranged based on the room type selected at the time of booking. If you have specific rooming preferences or requirements, please inform us at the time of booking and we will do our best to accommodate them. We cannot guarantee specific room allocations but will act reasonably to meet your needs.

Activities

Some activities included or offered during the trip — such as horse riding and quad biking — carry an inherent level of physical risk. Participation in these activities is voluntary. By participating, you accept the associated risks. We encourage all travellers to assess their own physical fitness and suitability before participating. We will not be liable for injuries or losses arising from voluntary participation in activities.

Health & Medical Responsibility

You are responsible for ensuring you are fit to travel. If you have any medical conditions or concerns, you should consult your doctor prior to booking. We are not responsible for any health issues arising during the trip. You must inform us of any medical conditions that may affect your participation in the trip or require special arrangements, so that we can advise accordingly.

Code of Conduct

All travellers are expected to conduct themselves with respect and dignity throughout the trip, in accordance with the values of the journey and the sanctity of the holy cities. We reserve the right to remove any traveller from the group whose behaviour is deemed disruptive, disrespectful, or harmful to others, without refund.

Limitation of Liability

Our liability to you is limited to the total amount paid by you for the trip. We are not liable for indirect or consequential losses, or for losses caused by events outside our reasonable control.

Nothing in these terms limits our liability for death or personal injury caused by our negligence, or for any other liability that cannot be excluded by law.

Force Majeure

We will not be liable for any failure to perform our obligations where such failure results from circumstances beyond our reasonable control, including but not limited to natural disasters, acts of government, pandemics, civil unrest, or airline disruption. In such cases, we will take reasonable steps to find a suitable alternative and will communicate with affected travellers as promptly as possible.

Privacy

By booking with us, you consent to the collection and use of your personal data as described in our Privacy Policy. We will handle your data in accordance with applicable UK data protection law.

Amendments to These Terms

We reserve the right to update these terms and conditions at any time. Any changes will be published on this page with an updated date. Changes will not affect bookings already confirmed at the time of the change.

Governing Law

These terms and conditions are governed by the laws of England and Wales. Any disputes arising from these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
